21st NIG Conference - Frequently Asked Questions

General Information

What are the dates and location of the conference?
The 21st NIG General conference will be held on Thursday February 6 and Friday February 7, 2025 in Ghent, Belgium.
The program will start from 10.30 on Thursday and will end at 15:30 on Friday. Two lunches and a dinner are included in the conference fee.

Where is the conference?
This years NIG conference is hosted by Ghent University, at the beautiful Rommeleare Campus, (Jozef Kluyskensstraat 29 in Ghent, Belgium). The dinner on Thursday will be at HA Brasserie at De Handelsbeurs, a 15 min. walk from the campus.

Can I attend the conference?
This year, the NIG conference has vastly grown in popularity. While we are very happy with the enthusiasm, there is also a limitation to our capacity. Therefore, this year’s conference attendance is limited to individuals with an accepted abstract, panel chairs, and NIG-members. Per submission, we can only accept one author. If there are more authors, they can attend the conference if they are a full NIG member, if they are a panel chair or if they submitted another abstract themselves.

I do not have an (accepted) paper, can I come?
Yes, but only if you are a panel chair or an NIG full-member. If you are not a panel chair or a member, we can put you on the reserve list. You will be notified if free spots open up after the registration deadline of December 15.

Registration process

How do I register for the conference?
Registration goes through our conference website: https://coms.app/nig-2025/
Please register by creating an account on the website, filling out the registration form, and paying the conference fee (if applicable). Please note that your registration is not complete before payment.
Because of our limited capacity, we kindly ask you to register and pay before December 15, 2025, 23:59. If you have not registered before then, we will give up your place to someone on the reserve list.

If you already created an account in COMS during the submission or reviewing process, you must also fill out the registration form to register for the conference. 

Is there a registration fee?
Yes, but only for attendees who are not an NIG member. The conference is free for people who are a NIG member (senior and PhD).

  • The conference costs 175,- euros for people employed by a NIG member university. All member universities can be found
  • The conference costs 225,- euros for people not employed by a NIG member university.

Is there any financial support or discount available for non-members attending the NIG conference?
We regret to inform you that we do not have any means to offer any financial support (such as travel grants, registration fee waivers, or accommodation costs) for participants of the NIG conference who are not registered as members of NIG. Sadly, we also cannot offer a discount for students. Often, it is possible to arrange some type of financial support with your own university. We therefore recommend that you refer to your own university for this support.

Paper submission

Do I have to upload a paper?
In principle, yes. If your abstract was accepted, we kindly ask you to upload a paper on the conference website by January 15th, unless your chair told you otherwise. All submitted papers will only be accessible for conference attendees.
If you have any questions about guidelines or the format for the full paper, please refer to your panel chairs.

Logistics

What accommodations are available near the conference venue?
You can find hotel recommendations near Campus Rommelaere in Ghent on this page. Please note that hotel accommodation in Ghent is in high demand, so we recommend to book early. We will open registration for the conference in November, so that you have enough time to book accommodation if you are attending.

Accessibillity

Is the venue accessible for individuals with special needs?
Yes, the venue is equipped to accommodate attendees with disabilities. Please inform us of any specific needs during registration (see registration form in COMS).
